1. Acceptance of Terms

These Terms of Use ("Terms") govern your access to and use of Smooth Books — Treasurer's Report & Budget Toolkit (the "Service"), offered by The Parent Group Blueprint ("we," "us," or "our"). By creating an account, subscribing to, or otherwise using the Service, you agree to be bound by these Terms. If you are using the Service on behalf of a PTA/PTO or other organization, you represent that you have authority to bind that organization, and "you" refers to both you and that organization.

If you do not agree to these Terms, do not access or use the Service.

2. Description of Service

Smooth Books is a done-for-you financial management suite for PTA/PTO treasurers and parent-group volunteers, consisting of 10 tools: Treasurer's Report, Annual Budget, Activities Tracker, Fundraiser Tally, Reimbursement Receipts, Budget vs. Actual, Monthly Summary, Year-End Report, Branding, and My Group. The Service generates print-ready, CSV, and PDF documents based on the information you enter and provides group-based collaboration features.

We may add, modify, or remove features of the Service at any time.

3. Accounts and Registration

To use the Service, you must create an account and provide accurate, current, and complete information, including your name, email address, and group name. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.

Each subscription is intended for use by one parent group. You must notify us promptly of any unauthorized use of your account. You must be at least 18 years old to create an account.

4. Subscription, Billing, and Cancellation

The Service is offered on a subscription basis at $79 per year, billed through our third-party payment processor, Stripe. By subscribing, you authorize us (via Stripe) to charge your chosen payment method for the subscription fee.

Auto-renewal. Your subscription automatically renews at the end of each annual term at the then-current price, unless you cancel before the renewal date.

Cancellation. You may cancel your subscription at any time through your account settings or by contacting us. Cancellation takes effect at the end of your current billing period; you will retain access until that date.

Refunds. Except where required by law, subscription fees are non-refundable, including for partial periods of use.

Price changes. We may change subscription pricing for future billing periods; we will provide notice before any change takes effect for your account.

5. User Content

"User Content" means the financial data, budget figures, transaction records, group member names, notes, logos, and other information you or your group members input into the Service. As between you and us, you retain ownership of your User Content.

You grant us a limited, non-exclusive license to host, store, process, and display your User Content solely as necessary to provide, maintain, and improve the Service. You are solely responsible for the accuracy of the User Content you enter, including all financial figures, and for ensuring you have the right to input any information you provide (including group members' names).

6. Group Collaboration (My Group)

The My Group feature lets you share access to your group's data with up to 10 members. The account holder who invites members (typically the treasurer) is responsible for managing who has access and for ensuring that only authorized individuals are added. The Service uses row-level data isolation so that your group's data is kept separate from, and is not visible to, other groups using the Service.

We are not responsible for how members you invite use or handle the shared data once they have access to it.

7. Intellectual Property

The Service, including its software, templates, report designs, tools, text, graphics, and the Smooth Books name and branding, is owned by The Parent Group Blueprint and is protected by copyright, trademark, and other intellectual property laws. Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable license to access and use the Service for your group's internal, non-commercial parent-group administration purposes.

You may not copy, modify, distribute, sell, sublicense, or reverse-engineer any part of the Service, or use our templates or tools to build a competing product.

8. Prohibited Uses

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable law or regulation
  • Enter fraudulent, misleading, or falsified financial information
  • Attempt to gain unauthorized access to another group's data or to any part of the Service's systems
  • Interfere with or disrupt the integrity or performance of the Service
  • Upload viruses, malware, or other harmful code
  • Use the Service to harass, defame, or harm any person or organization
  • Resell, rent, or provide third-party access to the Service without our written consent

9. Disclaimer of Warranties

The Service is provided "as is" and "as available," without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.

Smooth Books is a reporting and organizational tool. It does not constitute professional financial, accounting, tax, or legal advice, and it is not a substitute for consulting a qualified accountant, auditor, or attorney regarding your group's specific financial or compliance obligations. You are responsible for verifying the accuracy of all figures and reports generated by the Service before relying on them, including at membership meetings or for tax and compliance purposes.

10. Limitation of Liability

To the maximum extent permitted by law, The Parent Group Blueprint and its officers, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, revenue, or goodwill, arising out of or related to your use of, or inability to use, the Service, even if we have been advised of the possibility of such damages.

Our total liability for any claim arising out of or relating to these Terms or the Service will not exceed the amount you paid us for the Service in the 12 months preceding the claim.

Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you.

11. Term and Termination

These Terms remain in effect for as long as you use the Service. You may terminate your account at any time by canceling your subscription as described in Section 4.

We may suspend or terminate your access to the Service if you violate these Terms, fail to pay applicable fees, or for any other reason with reasonable notice where practicable. Upon termination, your right to use the Service ends immediately; we will handle any retained data in accordance with our Privacy Policy and Section 6 of that policy (Data Retention).

12. General Provisions

Governing law. These Terms are governed by the laws of the jurisdiction in which The Parent Group Blueprint operates, without regard to conflict-of-law principles.

Severability. If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.

Entire agreement. These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding the Service and supersede any prior agreements.

No waiver. Our failure to enforce any right or provision of these Terms will not be considered a waiver of that right or provision.

Assignment. You may not assign these Terms without our written consent; we may assign these Terms in connection with a merger, acquisition, or sale of assets.

13. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will update the effective date at the top of this document and, where appropriate, provide additional notice (such as email or an in-Service notice). Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
